Terms & Conditions

Everything you need to know when booking your stay at Tally Ho Meadow.

About Us

Tally Ho Meadow Ltd (“Tally Ho Meadow”, “we”, “us” or “our”) operates Tally Ho Meadow Luxury Glamping in Shadoxhurst, Kent. These Booking Terms & Conditions apply to direct bookings made with us and, where relevant, to bookings made through our website.

By making a booking, the lead guest confirms that they have read, understood and accepted these Terms & Conditions on behalf of everyone included in the booking. Bookings made through third-party booking platforms are also subject to the terms and payment conditions displayed by the relevant platform at the time of booking.

Bookings & Payment

Bookings are subject to availability and are confirmed once the required deposit or full payment has been received and we have issued booking confirmation.

The person making the booking must be aged 18 or over and is responsible for ensuring that all members of their party comply with these Terms & Conditions and any reasonable site or safety instructions provided.

Guests are responsible for ensuring that all information provided when making a booking is accurate.

Each pod accommodates a maximum of two guests. Only guests named on the booking may stay overnight and the maximum permitted occupancy must not be exceeded.

A 25% deposit of the total booking price is payable at the time of booking.

The remaining balance must be paid six weeks before the arrival date.

Where a booking is made within six weeks of arrival, the full booking price is payable at the time of booking.

If the balance is not received by the due date, we reserve the right to treat the booking as cancelled.

Prices shown at the time of booking are the prices applicable to that stay. Bookings made through third-party booking platforms are subject to the payment terms displayed by that platform at the time of booking.

Cancellations & Changes

For direct bookings, cancellations made more than 28 days before the arrival date will receive a refund of monies paid, less the 25% booking deposit, which is non-refundable.

Cancellations made within 28 days of arrival are non-refundable and the full booking amount remains payable.

Accommodation provided for specified dates is generally excluded from the statutory 14-day cooling-off period that applies to certain distance contracts.

We strongly recommend that guests arrange appropriate UK travel insurance when booking.

A request to move a booking to alternative dates may be made provided we receive the request at least 28 days before the original arrival date.

Changes are subject to availability and are normally permitted once per booking.

If the replacement stay is more expensive, the guest must pay the difference. If the replacement stay is less expensive, the difference will not be refunded.

Requests made less than 28 days before arrival will be treated as cancellations and the normal cancellation terms will apply.

Once moved to alternative dates, the booking remains non-refundable.

If we are unable to provide the accommodation booked and have to cancel your stay for reasons within our control, we will offer suitable alternative available dates or a refund of payments made to us for the affected booking.

Except where the law provides otherwise, we cannot accept responsibility for consequential losses or additional costs incurred as a result of cancellation.

Nothing in these Terms & Conditions affects your statutory rights.

Bookings made through third-party booking platforms are subject to the cancellation and amendment terms shown on the relevant platform at the time of booking.

Check-in & Check-out

Check-in is available from 3:00pm on the day of arrival and guests must check out by 10:00am on the day of departure.

Please do not arrive before your agreed check-in time unless prior arrangements have been made, as sufficient time is needed to prepare the pod to the standard we want for every guest.

Early check-in or late check-out is only available where agreed with us in advance and may be subject to an additional charge.

Arrival and access information will be provided before your stay. Guests are responsible for ensuring that they have received and read this information before travelling.

On departure, guests are asked to leave their pod reasonably clean and tidy and follow the departure instructions provided.

Occupancy & Guest Conduct

Tally Ho Meadow is an adults-only retreat.  All guests must be aged 18 or over.

Only guests included in the booking may stay overnight at Tally Ho Meadow. Additional or unregistered overnight guests are not permitted.

Tally Ho Meadow is designed as a peaceful countryside retreat. Guests are expected to behave considerately towards other guests, our neighbours, wildlife and the surrounding countryside and to keep noise to a reasonable level, particularly during the evening and overnight.

Parties, events, gatherings, commercial activities, professional photoshoots or additional visitors are not permitted without our prior agreement.

Guests are responsible for the behaviour of everyone included in their booking and for taking reasonable care of the pod, its contents and the wider site during their stay.

Excessive noise, antisocial behaviour, dangerous behaviour or conduct causing unreasonable nuisance or disturbance will not be tolerated. Where a serious or persistent breach occurs, we reserve the right to require the person or party concerned to leave the site. No refund will normally be provided in these circumstances.

Dogs

Tally Ho Meadow welcomes well-behaved dogs in our designated dog-friendly accommodation, subject to any applicable dog charge shown at the time of booking.

Dogs must be included on the booking, must be house-trained and must remain under appropriate control at all times. Dogs must not be left unattended in the pod.

Dogs must not be allowed on beds, sofas or other furniture. Owners are responsible for cleaning up after their dogs and disposing of waste appropriately.

Guests are responsible for any additional cleaning, damage or loss caused by their dog during their stay. We reserve the right to make a reasonable charge where additional cleaning or repair is required.

Dogs must not enter the wildlife pond or hot tub.

Guests bringing dogs must comply with our Dog Policy, which forms part of these Booking Terms & Conditions.

Assistance dogs are welcomed in accordance with applicable law. We encourage guests to let us know about any accessibility requirements before their stay so that we can provide appropriate support where possible.

Hot Tubs, Fire Pits & Outdoor Equipment

Guests are welcome to use the private wood-fired hot tub, fire pit/grill and other outdoor equipment provided with their pod, subject to following the operating and safety instructions supplied by Tally Ho Meadow.

Hot tubs and fire pits must only be used for their intended purpose. A lit fire must never be left unattended and guests must take particular care around hot surfaces, open flames and hot water.

Only the appropriate fuel and materials supplied or approved by Tally Ho Meadow may be used in the hot tub stove and fire pit.

Guests must not use accelerants or other flammable substances to light or maintain a fire.

Guests are responsible for using these facilities safely and for ensuring that fires are properly extinguished after use. Use may occasionally be restricted during periods of extreme weather, drought, high fire risk or where we reasonably consider conditions unsafe.

Hot tub water must not be contaminated with soaps, oils, bubble bath, bath or shower products, glass, food or other substances.

Guests must follow all hygiene and safety guidance provided.

Guests must not interfere with the operation, water treatment or maintenance of a hot tub.

We reserve the right to withdraw use of a hot tub or other outdoor equipment where it is being used unsafely or contrary to our instructions.

Occasionally a hot tub or other facility may be temporarily unavailable because of essential maintenance, water-quality requirements, adverse conditions or circumstances outside our reasonable control.

Any damage caused through misuse or failure to follow supplied instructions may result in a reasonable charge for cleaning, repair or replacement.

Disposable BBQs, fireworks, Chinese lanterns and unauthorised naked flames are not permitted.

Damage, Breakages, Missing Items & Additional Charges

We understand that accidents can happen. Guests are asked to let us know as soon as possible if anything is damaged, broken, lost or missing during their stay so that we can put things right.

Guests must take reasonable care of the accommodation, furnishings, equipment, outdoor areas and all items provided for their use during their stay.

Items provided for use during your stay, including towels, bathrobes, linen, furnishings, equipment and other reusable guest items, remain the property of Tally Ho Meadow and must not be removed from the accommodation.

We reserve the right to charge the lead guest the reasonable cost of repairing or replacing property that is damaged, lost or missing as a result of negligence, misuse, deliberate action, removal or failure to follow the guidance provided.

A reasonable additional cleaning charge may also be made where a pod is left in a condition requiring cleaning significantly beyond that normally expected following a guest stay.

Where we identify damage, a missing item or exceptional additional cleaning following departure, we will normally contact the lead guest before seeking payment and will provide details of any charge made.

Security Deposit

A £100 security deposit applies to direct bookings and will be shown on the booking confirmation.

The security deposit is held against accidental damage, loss, missing items or exceptional additional cleaning arising during the stay.

Where no charge is required, the security deposit will be released or returned in accordance with our payment provider’s process.

If a deduction is necessary, we will only seek a reasonable amount to cover the actual loss, damage or additional cleaning

required and will normally contact the lead guest before doing so.

The security deposit does not limit the guest’s responsibility for costs exceeding £100 where the reasonable cost of repair, replacement or additional cleaning is greater.

Smoking, Vaping & Candles

Smoking and vaping are not permitted inside any of our pod or enclosed accomodation.

Guests who wish to smoke or vape outside are asked to do so responsibly and to dispose of cigarette ends and other waste safely.

Cigarette ends must never be discarded on the ground or anywhere within the meadow.

Candles, incense, portable fires or any other naked flames are not permitted inside the pods.

Only the fire and heating equipment provided by Tally Ho Meadow may be used.

Any additional cleaning, damage or loss caused by smoking, vaping or the unauthorised use of naked flames may result in a reasonable charge.

Parking, Vehicles and EV Charging

Use of the EV charger is subject to availability and any operating instructions provided. Any applicable charges and payment arrangements will be communicated before or during the stay.

We cannot guarantee uninterrupted availability of the charger and recommend that guests requiring EV charging have an alternative charging option available in case of maintenance, technical problems or circumstances outside our reasonable control.

Safety, Emergencies & Guest Responsibility

Guests are responsible for taking reasonable care for their own safety and that of other members of their party during their stay.

Guests must follow all safety information, signage and instructions provided by Tally Ho Meadow, including guidance relating to fire safety, hot tubs and outdoor equipment.

In the event of an emergency, guests should follow the emergency information provided in their pod and, where necessary, contact the appropriate emergency services.

Any accident, injury, damage or safety concern occurring during a stay should be reported to Tally Ho Meadow as soon as reasonably possible.

The Countryside Environment & Wildlife Pond

Tally Ho Meadow is situated in a natural rural environment. Guests should expect normal countryside conditions including wildlife, insects, pollen, mud, vegetation, agricultural activity, weather-related conditions and naturally uneven, wet or slippery outdoor surfaces.

Conditions will vary according to weather and season and guests are asked to take appropriate care when moving around the site.

Our wildlife pond and surrounding natural areas form an important part of the landscape, biodiversity and drainage of Tally Ho Meadow.

The pond is not intended for swimming, paddling or recreational use. Guests must exercise appropriate care around water and are responsible for supervising visiting dogs.

Accessibility & Individual Requirements

We want all guests to feel welcome and comfortable during their stay. If you have any accessibility requirements or other individual needs, please contact us before booking so that we can discuss how we may be able to assist.

Tally Ho Meadow is located in a natural countryside setting and some outdoor areas may include grass, gravel, uneven ground or changes in surface.

Guests are responsible for ensuring that the accommodation and facilities are suitable for their individual needs before booking.

We will be happy to provide further information about the pods, access routes and facilities to help guests make an informed decision.

Where reasonably possible, we will make reasonable adjustments to accommodate disabled guests in accordance with applicable equality legislation.

Events Beyond Our Control

Tally Ho Meadow will not be responsible for failure to provide, or delay in providing, any part of your stay where this is caused by circumstances beyond our reasonable control.

Such circumstances may include severe or extreme weather, flooding, fire, interruption to utility or internet services, road closures, government restrictions, public emergencies or other unforeseen events outside our reasonable control.

Where an event beyond our control significantly affects your stay, we will take reasonable steps to minimise disruption and, where appropriate, will contact you as soon as reasonably possible.

If circumstances beyond our control mean that we are unable to provide your accommodation, we will work with you to offer alternative dates or, where appropriate, a refund of amounts paid directly to Tally Ho Meadow for the affected stay.

Nothing in these Terms & Conditions affects your statutory rights.

Our Liability

Tally Ho Meadow will take reasonable care to ensure that the accommodation, facilities and equipment provided are safe and maintained to an appropriate standard.

We will not be responsible for loss, damage, injury or inconvenience resulting from a guest’s failure to follow the instructions, safety guidance or reasonable rules provided, or from misuse of the accommodation, hot tubs, fire pits or other facilities.

Guests are responsible for their own personal belongings during their stay. We cannot accept responsibility for loss, theft or damage to personal belongings or vehicles except where this results from our negligence or where liability cannot legally be excluded.

We cannot be held responsible for temporary interruptions to services or facilities caused by circumstances beyond our reasonable control, although we will take reasonable steps to resolve any problems as quickly as possible.

Nothing in these Terms & Conditions excludes or limits our liability where it would be unlawful to do so, including liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation.

Complaints & Problems During Your Stay

We want every guest to enjoy their stay at Tally Ho Meadow. If you experience any problem with your accommodation, facilities or any aspect of your stay, please let us know as soon as possible so that we have the opportunity to put things right.

Where possible, problems should be reported during your stay rather than after departure, particularly where the issue could reasonably have been resolved at the time.

We will make every reasonable effort to investigate and resolve any concerns promptly and fairly.

If you remain dissatisfied, please contact us in writing following your stay, providing details of the issue and allowing us a reasonable opportunity to respond.

Nothing in this section affects your statutory rights.

Privacy & Personal Information

We collect and use personal information provided in connection with your booking in order to manage your reservation, communicate with you about your stay and provide our services.

Personal information will be handled in accordance with applicable data protection legislation and our Privacy Policy.

We will not use your personal information for marketing purposes unless you have separately agreed to receive marketing communications from us.

Where a booking is made through a third-party booking platform, that platform will process personal information in accordance with its own privacy policy.

Further information about how we collect, use and protect personal information, including your rights, can be found in our Privacy Policy.

Governing Law & Jurisdiction

These Terms & Conditions and any booking made with Tally Ho Meadow are governed by the laws of England and Wales.

If a dispute arises, we hope that it can be resolved directly and amicably between us. If this is not possible, any dispute will be subject to the jurisdiction of the courts of England and Wales, subject to any rights you may have as a consumer to bring proceedings elsewhere.
